Our terms and conditions are based on time-tested industry standards and a strong conviction that they must be fair to Wildland guests and to Wildland.

Especially we ask you to notice that the closer a cancellation is to the trip start date, the smaller the eligible refund becomes. Capacities are strictly limited in most Wildland destinations by land management regulations, so every spot is irreplaceable. The closer to the start date that a guest cancels, the more difficult it is to fill that spot. Within 30 days of the start, no refund or trip credit is offered because at that point it is very unlikely the reservation will be replaced.

We appreciate your understanding of the realities we face as a small group adventure company operating on strictly regulated public lands, and are more than happy to answer any questions you have about Wildland’s terms.  Finally, we can’t wait to help you experience the wonders of whichever destination you’re interested in – we’re sure it will be unforgettable!

Important Note: We strongly encourage all guests to understand the terms below. We do not stray from these agreements under any circumstances, so please consider purchasing trip insurance to protect your travel investment.

PAYMENT SCHEDULE

  • $250 per person deposit is required to secure your spot*.
  • The final balance is due 60 days prior to your trip start date.
  • Full payment is due at the time of booking for day hikes and for multi-day trips starting 60 days or less from today.

Final acceptance of any participant is subject to receipt and review of all required forms, documents, and payment.

*Exceptions to the $250 deposit include any trip that utilizes the Inca Trail ($300 deposits) and Phantom Ranch Tours ($500 deposits).

TRIP ITINERARY CHANGES AND ALTERNATE TRIPS

All Wildland Trekking Company, Wildland Llamas, and Wildland International (the Company) trips are subject to itinerary changes based on a variety of circumstances beyond our control, including, but not limited to permit or campsite availability, snowpack, river crossings, wildlife, park or land closures, and forest fires. The price of a hiking trip will never change due to itinerary changes. Payments are not refundable for itinerary changes or park or land closures. If a trip is cancelled due to circumstances beyond our control and no alternate itinerary is available a trip credit will be issued equal to the full amount paid minus any nonrefundable expenses incurred by the Company.

CANCELLATION AND REFUND POLICY – TRIPS IN THE USA

The Wildland Trekking Company (WTC) and Wildland Llamas (WL) reserve the right to cancel any trip because of internal reasons including but not limited to inadequate signups, loss of staff due to injury or illness and significant damage/loss of inventory. If WTC or WL cancels a trip due to internal reasons, a refund of the total amount paid will be given, including the deposit. WTC or WL is not responsible for additional expenses incurred by preparing for the trip (for example: non-refundable advance purchase air tickets, clothing, equipment, visa fees, medical expenses, etc.).

If a trip or reservation is cancelled due to circumstances beyond our control, including but not limited to public land closures, civil unrest, public health emergencies and natural disasters, a full trip credit will be issued minus any nonrefundable expenses incurred by WTC. Refunds are not offered in these situations.

Multi-day Trip Cancellations

If you cancel or leave a trip for any reason:

  • 60+ days prior to trip start: A full refund minus $50 per person will be granted if you cancel within 10 days of making your reservation*. After 10 days from your first payment we will grant you a full refund, less a $100 per person administrative fee.
  • 59 – 30 days prior to trip start: refund of 50 percent of the trip cost.
  • Less than 30 days prior to trip start: or once the trip has begun, there will be no refund, trip credit or transfer of payments.

*The 10-day grace period applies solely to reservations made more than 60 days prior to the trip start date.

Day Hike Cancellation Policy

50% refund with 48 hours notice; no refund within 48 hours.

CANCELLATION AND REFUND POLICY – TRIPS OUTSIDE THE USA

All trips outside the USA are sold and operated by Wildland International, LLC (WI). WI reserves the right to cancel any trip because of internal reasons including but not limited to inadequate signups, loss of staff due to injury or illness or significant damage/loss of inventory. If WI cancels a trip due to internal reasons a full refund will be given, including the deposit. WI is not responsible for additional expenses incurred by preparing for the trip (for example: non-refundable advance purchase air tickets, clothing, equipment, visa fees, medical expenses, etc.).

If a trip or reservation is cancelled due to circumstances beyond our control, including but not limited to border closures, land closures, civil unrest, terrorism, public health emergencies and natural disasters, a full trip credit will be issued minus any nonrefundable expenses incurred by WI. Refunds are not offered in these situations. Refunds will not be issued for arriving late or leaving a trip early. Exceptions to the cancellation policy cannot be made for any reason, including but not limited to any of the reasons stated above, weather or personal emergencies.

If you cancel or leave a trip for any reason:

  • 60+ days prior to the trip start date: A full refund minus $50 per person administrative fee will be granted if you cancel within 10 days of your first payment. After 10 days from your first payment, we will grant you a full refund, less a $100 per person administrative fee*.
  • Between 59 and 30 days prior to the trip start date: We will retain 50% of the trip cost.
  • Less than 30 days (29-0 days) prior to the trip start date: or once the trip has begun, there will be no refund, trip credit or transfer of payments.

Day Hike/Tour Cancellation Policy: 50% refund with 7+ days notice prior to hike/tour; no refund less than 7 days (6-0 days) notice prior to hike/tour date.

*The 10-day grace period applies solely to reservations made more than 60 days prior to the trip start date. Inca Trail & Short Inca Trail trips in Peru have a minimum $200 per person cancellation/transfer fee in addition to administrative fees. This is due to non-refundable and non-transferable trail permit fees made on guests’ behalf made immediately upon booking.

**If you cancel a trip to Vancouver Island in Canada between  59 and 46 days prior to the trip start date, we will retain 50% of the trip cost. If you cancel between 45 and 30 days prior to the trip start date, there will be no refund or trip credit issued.

WTC/WL/WI TRANSFER POLICY

If you transfer from one trip to another there may be transfer fees resulting from any permit or lodging deposits made on your behalf. See details below marked with an asterisk (*). Otherwise the policy is as follows:

Transfer Policy for Multi-day Trips

  • More than 60 days prior to the trip start date, you may transfer from one trip to another with no associated fees.
  • Between 59 and 30 days prior to the trip start date, you there will be a $100 per person transfer fee PLUS the cost of any non-refundable lodging, campground, or permitting fees paid by WTC, WL or WI.
  • Less than 30 days prior to the trip start date regular cancellation and refund policies will apply.

*Destination & Trip Specific Transfer Policy Exceptions

ALPS, SWEDEN: Transfers made 30 days prior to the trip start date, we will retain 25% of trip rate, otherwise regular transfer, cancellation, and refund policies will apply.

CHILE/PATAGONIA – TORRES DEL PAINE TREKS: Transfers made between 59-30 days prior to the trip start date, we will retain 50% of trip cost.

CHILE/PATAGONIA – AYSEN REGION TREKS: Transfers made between 61-30 days prior to the trip start date, will have $100 per person transfer fee PLUS the cost of any non-refundable lodging, campground, or permitting fees paid by WILDAND.

CANADA & NORWAY: Transfers made between 59-30 days prior to the trip start date, we will retain 50% of trip rate. EXCEPT Vancouver Island trips; transfers made between 59 and 46 days prior to the trip start date, we will retain 50% of the trip cost. Less than 45 days prior to the trip start date, we will retain 100% of trip cost.

CUSCO, PERU: Transfers made between 59-30 days prior to the trip start date on any multi-day Peru trip, we will retain a minimum $200 per person transfer fee. Regardless of when you transfer: trips involving the Inca Trail or Short Inca Trail in Peru have a minimum $200 per person transfer fee in addition to any administrative fees. This is due to non-refundable and non-transferable trail permit fees made on guests’ behalf immediately upon booking.

TANZANIA: Transfers made between 59-30 days prior to the trip start date for a Kilimanjaro Trek, we will retain a minimum $500 per person transfer fee; for a Safari, we will retain a minimum $775 per person transfer fee; for a Kilimanjaro + Safari Combo, we will retain a minimum $1200 per person transfer fee.

VIETNAM: (Groups of 6+ guests) transfers made between 59-31 days prior to the trip start date, we will retain 25% of the trip rate; transfers made 30-0 days prior to the trip start date, we will retain 100% of trip rate.

Transfer Policy for Day Hikes

If you transfer from one day hike to another:

  • 14 or more days prior to the trip start date: there will be a $25 processing fee.
  • Less than 14 days prior to the trip start date: regular cancellation and refund policies will apply.

TRIP INSURANCE

TRAVEL SE

This product is the best-selling for Wildland Trekking. The policy includes trip cancellation protection in addition to medical and emergency evacuation benefits. All US Residents are eligible for the Travel SE product. It is NOT a CANCEL FOR ANY REASON product.

TRAVEL LX

US Residents (Except New York) are eligible for Travel LX product. The policy includes trip cancellation protection in addition to increased medical and emergency evacuation benefits. The Travel LX policy also INCLUDES Cancel for ANY REASON. To be eligible you must purchase the policy within 20 days of initial trip payment, insure 100% of your pre-paid trip costs, and cancel 2 or more days prior to departure. A CANCEL for ANY REASON Claim reimburses a maximum of 75% of the trip cost.
